What was the Problem?

The Embassy was managing all the patient records manually in excel sheets and the resources assigned to the task had to invest a lot of time and efforts in these tedious activities. The Embassy staff, the accountants, and the medical advisors also lacked a centralized system for managing the patient’s accounts. Because of the manual processes, keeping a track of the status of the patient was difficult, especially if they had made multiple trips to the US. Thus they required a system that could automate and digitize the process to ensure that they could effectively manage the patients and their trips.

What was the Need?

Client required a digital system for the patient data along with their travel history for the peers of the embassy. They were looking for a one-stop solution system that could seamlessly integrate all he steps of patient management right from adding the patients to the datasheet to managing their visits, maintaining their current status along with their case file and their expenses. The idea was to automate the mundane tasks and empower resources of the embassy to focus their time and efforts on better serving the citizens of their nation. Also, the idea was to simplify the previously complex procedure and gain clarity at a click of a button.

A Tough Fight

Integration of Details needs very specific attention

The implementation of the key feature of storing specific details of the patient and their escort for each visit was tough to implement since various categories such as escorts, diagnoses, hospitals, PR files and other such crucial details had to be stored for each visit. Along with that, the database needed to be designed in such a way that the architecture would allow for easy retrieval of the documents. The team also worked hard to incorporate the feature of maintaining allowances for each patient and their escorts, which was covered in development along with other complex scenarios.

Along with the pre-defined Users like Medical Advisors, PR, Accountants and the System Administrator, the client wanted an option to add new System Actors and assign them access to specific modules only. To solve the problem, we created a cross-functional team that would create a dynamic and personalized solution for the client.
