We have an itch to do deep research about the problem.
The Embassy was managing all the records of the patient manually in excel sheets.
The resources assigned to the task had to invest a lot of time and effort in these tedious activities.
Embassy staff, accountants, and the medical advisors also lacked a centralized system for managing the patient’s account.
Manual methods made it difficult to maintain track of the patient’s status, especially if they made multiple trips to the US.
The client required a system that could automate and digitize the process to effectively manage patients and their trips.

Client wanted a comprehensive digital system that could integrate all the steps, from adding patients to the datasheet to tracking their visits, maintaining their current status, case files and expenses.
The idea was to automate everyday tasks so that embassy personnel could devote more time and effort to serve their country’s residents.
Additionally, the aim was to simplify the previously complex procedures and provide clarity at the click of a button.

Development of a Web Based Panel
We proposed the development of a website platform for the embassy staff that would allow them a completely digitized mode of adding the patient’s and escort’s history to the system.
Centralized Allowance Management
Zealous also proposed a system that would automatically calculate and credit the allowance to the accounts of patients and their escorts on a weekly basis, using a pre-defined logic.
Our consultants also proposed incorporation of the key features of the embassy’s system, such as the current status of the patient, extension of PR and others into the system.
Various meetings were conducted with the client by a team of the Business Analyst and the Project Manager to understand the client’s requirements.
Document of Scope
Based on the meetings and suggestions from client, a detailed scope document was prepared by our team of analysts and developers.
After multiple meetings, we prepared the wireframes and user stories for the project to help our client visualize the system and its activity flow.
With the use of agile methodology, a dynamic web platform was developed for the client.
Regression testing and integration testing was used to test User Story implementation at each milestone, while the client also conducted UAT for the developed system.
The fight was tough but so fun to crack!
The biggest challenge was implementing the key feature of storing specific details of patients and their escorts for each visit due to the numerous categories involved, such as escorts, diagnoses, hospitals, PR files, and other crucial details.
The database needs to be designed in such a way that would enable easy retrieval of documents.
In addition to the predefined users such as Medical Advisors, PR, Accountants, and System Administrators, the client requested an option to add new System Actors and assign them access to specific modules only.
A cross-functional team was assigned to provide a dynamic and personalized solution to the client.

Patient And Escort Management
The system stores all the details of existing as well as new patients and their respective escorts.
Patient Visits Tracking
Once added, a patient's future visits are automatically stored, along with all their details.
Patient Trip Details
Before the patient and escort reach the US, their PR files like LOG, LOA are stored in the system.
Numerous parameters were integrated to calculate the weekly allowances using a pre-defined logic.
Centralized Document Storage
Any embassy staff with access permissions can view the patient's profile.
Dynamic Access Permissions
Each user had their defined roles in the system and they were given access to information accordingly.
The system can assign a status to each patient for their visit such as Pending, Departed, Active, Deceased or Rejected.
PR Extension Process
If a patient would require extending their stay in the US, the system can be used to implement the same.
Administrators can add and manage patients as well as escorts from the system.
Each patient had their own individual profile in the system and respective users can access the files.
